REQUESTED MOTION/ACTION

Recommended Action:
a) Approve award of Request for Proposal #26-406, DACH Region International Representation - Annual Contract to Sommer Touristik Marketing of Aschaffenburg, Germany for the annual retainer amount of $55,000 for DACH Region; $10,000 for the optional BeNeLux area; and a not-to-exceed amount of $85,000 for reimbursables; and
b) Authorize the Chairman to sign the contract; and
c) Authorize the County Administrator, or designee, to approve the renewal options for up to two (2) additional one-year terms, at the same prices, terms and conditions, by mutual consent.

BACKGROUND (Why is this Action Necessary, and What Action will be accomplished)

Background:
Charlotte County is requesting proposals from qualified firms to secure an annual contract with a firm capable of providing International Travel Trade Representation in the DACH Region (Germany, Austria, and Switzerland), with the option to add the Benelux Region (Belgium, Netherlands, and Luxembourg). These services will support the sales, marketing, and public relations efforts of the Punta Gorda/Englewood Beach Visitor & Convention Bureau (hereafter referred to as VCB) in advancing its tourism mission.

The term of the contract will be effective October 1, 2026, up to and including September 30, 2027, with option to renew for two (2) additional one-year terms at the same prices, terms and conditions, by mutual consent.
